11 Feb 2026: 🌏 Timezone Update – Patient Timezone Field & Appointment Email Notifications

We’ve introduced a Patient Timezone system field and updated how Appointment-related email notifications are generated for Patients.

This enhancement ensures that appointment times shown in emails reflect the Patient’s configured timezone — improving clarity for Organisations operating across regions.

⚠️ This update specifically relates to email notifications.
Appointment times in the Mobile App and Web Portal continue to behave as they currently do (see below).


✨ What’s New

🧾 Patient Timezone System Field

  • New system field: Timezone added to all Patient profiles.

  • 🏥 Defaults to Organisation Timezone.

  • Mandatory on New Patient creation (pre-filled with Organisation timezone).

  • 🧍 Self-registration default = Organisation timezone.

  • ✏️ Editable by Team Members via:

    • Patient Profile → Edit screen

    • New Patient creation modal

  • 🔒 Not currently editable by Patients.

🔁 Migration Completed

  • All existing Patients have been migrated.

  • Their Timezone has been set to the Organisation timezone.


📧 Appointment Email Behaviour (What Changed)

When Appointment-related emails are sent to Patients:

  • 🕒 The time displayed in the email now reflects the Patient’s saved Timezone.

  • Previously, this used the Organisation timezone.

This applies to:

  • 📅 Individual Appointments

  • 👥 Group Appointments

  • 📩 Confirmations, updates, cancellations, and reminders


📱 Mobile App & Web Portal (What Has NOT Changed)

  • Appointment times shown inside the Mobile App and Web Portal continue to display based on the device or browser timezone.

  • We do not track the Patient’s physical location.

  • The app/browser automatically determines timezone based on the device settings at the time of viewing.

This means:

  • If a Patient travels, the app will reflect their current device timezone.

  • Email notifications, however, use the stored Patient Timezone field.
