30 Oct 2025: ✉️ Patient Activation & Invitation Workflow Updates

We’ve refined the patient onboarding flow to improve clarity, consistency, and operational logic across all registration pathways. ✨

This update includes terminology changes and important state logic improvements.


✨ What’s Changed

✉️ “Send Activation” → “Send Invitation”

Within the Patient Info widget, we’ve updated the terminology:

  • Send ActivationSend Invitation

  • Resend ActivationResend Invitation

This better reflects what is actually happening — inviting a patient to set up their account — rather than “activating” them manually.


🟢 Clinician-Created Patients Now Go Straight to Active

Previously:

  • When a clinician created a patient, the patient entered a Pending state.

  • They only became Active after clicking “Send Activation”.

Now:

  • When a clinician creates a patient, they immediately enter the Active state.

  • They are visible in lists and searches and can be configured immediately.

  • “Send Invitation” simply triggers the password/setup email — it does not change their state.

This aligns system state with real-world intent.


🔄 Updated Registration Flows

1️⃣ Clinician Creates Patient

  • Patient is immediately Active

  • Visible in lists and searchable

  • Clinician clicks Send Invitation

    • Password email sent

    • Welcome email sent

    • Activation Form sent (if present)

    • Enrolled in associated Patient Journey (if configured)

  • Clinician can Resend Invitation

    • Password email sent again


2️⃣ Patient Self-Registers (Approval Required)

  • Patient enters Pending state

  • Not visible in lists/searches

  • Clinician clicks Approve

    • Patient becomes Active

    • Welcome email sent

    • Activation Form sent (if present)

    • Enrolled in associated Patient Journey (if configured)


3️⃣ Patient Self-Registers (No Approval Required)

  • Patient immediately becomes Active

  • Welcome email sent

  • Activation Form sent (if present)

  • Enrolled in associated Patient Journey (if configured)


💡 How It Helps

🧠 Clearer System Logic

Patient state now reflects:

  • Administrative visibility (Active vs Pending)

  • Not whether an invitation email has been sent

This removes confusion around activation status.


⚡ Faster Administrative Setup

Organisations can now:

  • Configure Patient Groups

  • Assign Care Teams

  • Set Journeys

  • Prepare appointments

…without waiting for an invitation to be sent.


🔄 More Consistent Terminology

Using “Invitation” instead of “Activation” improves clarity for Team Members and better matches modern onboarding language.
