# Adding Linked Tasks to Bookable Services

Create follow-up tasks for the provider automatically, every time an appointment for a Service is booked. Set the tasks once on the Bookable Service, and each new booking adds them to the provider's To-Do List with a due date set relative to the appointment.

---

#### 📍 Where to Set This Up

Go to:
**Booking Management → Bookable Services**

Click **+ Service** to create a new Service, or select an existing one to edit. Scroll to the **Linked Tasks** section.

---

#### 📝 Adding a Linked Task

1. Click **+ Task** to add a row
2. Enter the **Task** name (e.g. "Complete case note")
3. Enter the **Due After** value, in days
4. Repeat for each task you want attached to this Service
5. Click **Save**

**Due After** counts days from the appointment date. Enter **0** to make the task due on the day of the appointment itself.

---

#### 🔁 What Happens When an Appointment Is Booked

When an appointment for the Service is booked, each Linked Task is created and:

- Assigned to the provider the appointment is booked with
- Given a due date of the appointment date plus the Due After period
- Linked to the patient the appointment is for

The provider sees the task in **My To-Do List** on **My Dashboard**, alongside their other tasks. Because it is linked to the patient, the task also appears in the **Patient Tasks** section on the patient's **Overview** tab, so anyone with access to the patient's record can see what is outstanding after each appointment.

Complete a Linked Task the same way as any other task: tick the checkbox in My To-Do List.

A couple of things to know:

- Linked Tasks apply to appointments booked **after** the task was added to the Service. Bookings that already existed are not affected
- Linked Tasks are available on Bookable Services only. Group Program sessions do not create them

#### 🎯 Ways to Use Linked Tasks

| Task | Due After | Why it helps |
| --- | --- | --- |
| Complete case note | 2 | Keeps documentation on schedule after every session, in line with your Organisation's notes policy |
| Send referral or GP letter | 7 | Common after an initial consult, easy to lose track of once the next week's bookings arrive |
| Follow-up call | 2 | A quick check-in after a first session, or after a discharge appointment |
| Submit claim or send invoice | 1 | Keeps billing moving without a separate reminder system |
| Review assessment scores | 5 | Prompts the provider to look at post-session measures before the next appointment |
| Update care plan | 3 | Useful on review-type Services where the plan is expected to change |

Because tasks are set per Service, different Services can carry different tasks. An initial consult might have three, a standard follow-up just one.

#### 💡 Best Practices

- Keep task names short and action-led so they read cleanly in My To-Do List
- Only add tasks that apply to every booking of that Service. Anything patient-specific is better added manually from the patient's profile, or through a [Patient Journey stage automation](https://support.wellifiy.com/en-au/knowledge-hub/set-up-automations-within-journey-stages?hsLang=en-au)
- Match the Due After period to your Organisation's policies, such as case notes within 48 hours
