Appointment Notifications Overview

Appointment notifications help keep both Patients and Clinicians informed about their upcoming sessions. Wellifiy delivers these updates through emails and push notifications, ensuring important details such as bookings, cancellations, and reminders are clearly communicated.

Notifications are designed to:

  • Keep Patients and Clinicians updated with timely information

  • Support reliability and deliverability of communications

  • Provide flexibility to manage preferences for different notification types

  • Allow organisations to white-label emails for a fully branded experience


✉️ Email Notifications

  • Who receives emails?

    • Patients and Clinicians receive emails when:

      • An appointment is Booked

      • An appointment is Cancelled

      • 48 hours before the appointment start time (Reminder)

  • Plain text format – all emails are sent in plain text to improve deliverability.

  • White-labelling support – automated emails can be configured to appear as if they are sent from your organisation’s email domain.

    • ⚠️ This is an Enterprise platform extension and may or may not be active for your organisation.

    • To confirm or request activation, please contact your Wellifiy Account Executive (AE) or our Support Team.

    • This feature requires DNS updates, which our team will help coordinate with your IT contact.

  • Calendar integration – Patient booking confirmation emails include an option to save the appointment directly to Google Calendar or Outlook Calendar.


📲 Push Notifications

  • Patients receive push notifications in the mobile app when:

    • An appointment is Booked

    • An appointment is Cancelled

    • 48 hours before the appointment start time (Reminder)


🔔 Managing Notification Preferences

Notification preferences can be adjusted for individual Patients:

  1. Go to Patient OverviewPatient Profile widget

  2. Click Manage Notification Settings

  3. Scroll to the Appointments section

  4. Deselect Email and/or Push Notifications as required

⚠️ Note: SMS notifications are referenced in settings but are not currently active. SMS support will be available in the future.


👥 Individual vs Group Program Appointments

  • Individual Appointments: Patients and Clinicians receive booking, cancellation, and reminder notifications.

  • Group Program Appointments: Patients receive reminder notifications only (no booking or cancellation notifications).


🕑 Manual Reminder Option

There is a Send Reminder button on the Appointment Modal.

  • Team Members can use this to manually trigger both an Email Reminder and a Push Notification to the patient.
