Customise Your Organisation's Special Terms
Wellifiy lets your Organisation rename three core concepts — patient, clinician and Patient Group — so the platform uses the words that are appropriate for your Organisation.
📍 Where to Find Terminology
Go to:
Administration → Portal Settings
On the Overview tab, find the Terminology widget and click Edit.
Note: only Team Members whose Role includes Administration permissions can access this area.
✏️ Editing Your Terms
The Edit Terminology modal has three free-text fields:
- Patient term — for example client, employee, member, participant, service user
- Clinician term — for example provider, practitioner, contractor, staff member
- Patient Group term — for example customer, business, cohort, program
Enter the wording you want in each field and click Save.
Terms that were configured for your Organisation before this feature became self-serve are already in these fields, so nothing has been reset.
🔁 Where Your Terms Appear
The words you set replace Patient, Clinician and Patient Group throughout the platform.
However, terminology affects labels only. Records, configuration and reporting are unchanged — a patient record is still a patient record underneath whatever your Organisation calls it.
Exports, imports and the API are also unaffected. CSV exports, the bulk import templates and API field names all use Wellifiy's default naming, so any integration, template or report you've built keeps working after a terminology change.
Wellifiy's own knowledge hub articles, release notes and support replies use the default terms, since the wording differs for every Organisation. If your terms are set to something else, read patient, clinician and Patient Group as your equivalents.
💡 Best Practices
- Enter each term in the singular — the platform handles plural forms where they're needed
Next step:
➡️ Open the Staff Portal and check your key screens — patient list, appointments and Patient Groups — to confirm the new wording reads well in context.
