Case Notes for Group Programs

Group Program Case Notes allow Team Members to document attendance, themes, outcomes, or reflections for all patients who participated in a specific Group Program session - in one note, all at once. This helps streamline clinical documentation while maintaining a record for each individual patient.


Group Program Case Notes make it easy for Team Members to document what occurred in a group session and apply that note to multiple patient records at once. Rather than entering individual notes for each participant, clinicians can create one note and choose which enrolled patients it should be added to.


🗂️ What Are Group Program Case Notes?

  • A single note written by a clinician for a specific Group Program session.

  • Can be applied to the records of multiple patients at once, saving time and ensuring consistency.

  • Perfect for documenting shared group experiences such as psychoeducation sessions, group therapy, physical activity groups, and more.


🧑‍⚕️ How They Work

  • After a session takes place, clinicians can write one note from the Group Program screen.

  • They’ll then be prompted to select the patients to whom the note should be applied.

    ✅ You are not restricted by attendance status—you can choose any enrolled patients.

  • Once applied, the note appears in each selected patient’s Case Notes tab, just like an individually written note.


✍️ Creating a Group Program Case Note

  1. Go to Group Programs

  2. Select a program and go to the Attendance tab

  3. Find the session and click the ••• menu

  4. Choose Add Group Program Note

  5. Complete your note using a template or free text

  6. Select the patients the note should be attached to

  7. Finalise the note to save and apply it


🔒 Access & Permissions

  • Only Team Members with access to the Group Program can create Group Notes.

  • All applied notes will list the author and appear in the individual patient's record with the linked session.
