Custom Fields: Overview
Custom Fields
Custom Fields let your Organisation capture information that Wellifiy doesn't track by default. You can add them to Patients, Clinicians, Patient Groups, Appointments, and Bookable Services, then use them in reporting and elsewhere across the platform. This article explains what Custom Fields are and how to set them up.
Custom Fields are different from Custom Terms, which rename existing concepts. For example, an Organisation might show "patient" as "Employee" or "Patient Group" as "Business". Custom Fields add new data fields; Custom Terms relabel existing ones.
📋 What You Can Add Custom Fields To
You can add Custom Fields to five areas: Patients, Clinicians, Patient Groups, Appointments, and Bookable Services.
Patient Custom Fields are the most capable: as well as storing information, they can be shown to patients in the Patient App (see below). They're useful for details like gender, referral source, or contact status. Custom Fields on the other four areas store additional information against that record.
💡 Note: If your Organisation uses Custom Terms, the Patient, Clinician, and Patient Group entities may appear under different names, such as Employee, Provider, or Business. The underlying entity is the same; only the label changes.
🧩 Field Types
When you create a Custom Field, you choose its type. There are six: Integer (a whole number), Text (free text), Single Select (one option from a list), Multi Select (one or more options from a list), Boolean (a yes/no value), and Date.
⚙️ Creating a Custom Field
- Go to Administration → Custom Fields and select the entity type (for example, Patient).
- Click + New.
- Enter a field name.
- Select the field type.
The field is created and added to that entity.
⚠️ You can't change a field's entity or field type after it's created, so choose both carefully. Only the field name can be edited later.
✏️ Editing and Reordering
Use the ••• menu at the end of a field's row to:
- Edit the field name.
- Move the field up or down to change its order in the list.
👤 Patient Custom Fields and the Patient App
Custom Fields on Patients can be made visible to patients in the Patient App, and optionally editable by them. Setting that up, and surfacing patient fields during onboarding, is covered separately in the Patient Profile Builder guide.
💡 Best Practices
- Give each field a clear, descriptive name so it's easy to find and report on.
- Choose the entity type and field type carefully, since neither can be changed once the field is created.
- Custom Fields are ideal for information you'll want to filter or report on later, such as referral source or contact status.
