Downloading Exports from Export History

Exports in Wellifiy are generated in the background and collected in one place. Export History is the log of every export your Organisation has run, and it's where completed files are downloaded from.


📍 Where to Find Export History

Go to:
Reporting → Export History

The page lists exports that have been generated for your Organisation, with the most recent at the top.


🔁 How the Export Process Works

  1. A Team Member clicks Export on the screen they're exporting from.
  2. The export is generated in the background. Larger exports take longer to prepare.
  3. An email notification is sent to the Team Member who requested it, confirming the export is ready.
  4. The Team Member opens Reporting → Export History and downloads the file from the relevant row.

Exports are prepared in the background so you don't need to stay on the screen while the file is built. You can keep working and come back to it.


📧 What the Notification Email Does

The email is a notification only. It confirms the export has finished generating.

Two things worth knowing:

  • The email does not contain the export file, and no export data is sent by email. The file is only ever downloaded from within the Staff Portal, behind your login.
  • You don't need the email to retrieve the export. As soon as the file has finished generating it appears in the Export History table, so you can go straight to Reporting → Export History at any time.

Each row represents one export request and gives you the detail needed to identify it and download the file.


🔒 Permissions

Access to Reporting is controlled by the Reporting permission on a Team Member's Role, configured under Administration → Roles and Permissions.

Some exports carry an additional permission requirement. Exports from the Access Log, for example, need both the Reporting and Patient Access Log permissions.
