Managing Team Member Disciplines
A Discipline records a Team Member's professional discipline — for example Clinical Psychologist, Occupational Therapist, or Social Worker. Your Organisation manages its own list of Disciplines, so the options available on Team Member profiles match the professions you actually employ and the terminology your team uses.
📍 Where to Find Team Member Disciplines
Go to:
Administration → Portal Settings → Team Member Disciplines
You'll see a table listing every Discipline configured for your Organisation.
Note: only Team Members whose Role includes Administration permissions can access this area.
➕ Adding a Discipline
- Click + Add in the top-right of the table
- Enter the Discipline name (free text)
- Save the new Discipline
The new option becomes available immediately in the Discipline drop-down on Team Member profiles.
⚙️ Editing or Removing a Discipline
Each Discipline in the table has an actions menu (⋯) with two options:
- Edit — rename the Discipline
- Remove — take it out of your Organisation's list
📋 Building Your List
Wellifiy doesn't ship a default set of Disciplines — the list is yours to build. Any Disciplines already assigned to your Team Members have been carried across into your Organisation's list automatically, so nothing has been lost from existing profiles.
Add the professions your Organisation employs, using the wording your team recognises.
👩⚕️ Assigning a Discipline to a Team Member
The Discipline field sits on a Team Member's Profile tab (Administration → Team Members → select a Team Member).
- The drop-down draws from your Organisation's own list
- Each Team Member has one Discipline
- Only the Disciplines configured for your Organisation appear as options
🧾 Where Disciplines Appear
Disciplines are an internal, staff-side field. They aren't shown to patients — the patient-facing professional detail on provider profiles is the Profession field.
Where a Team Member's Discipline does surface:
- On Case Notes they author, in the Discipline column of the Case Notes table
- As a filter across the top of the Case Notes table, so you can narrow a patient's notes to a single discipline
This makes the Discipline list worth keeping tidy — the names you choose are the filter options your clinical team works with.
💡 Best Practices
- Set your Discipline list up before onboarding a wave of new Team Members, so each profile can be completed in one pass
- Use recognised profession names rather than internal shorthand — they double as Case Note filters
- Keep the list as short as it can be while still being useful; a long list makes the Case Notes filter harder to work with
- Before removing a Discipline, check whether any Team Members still have it assigned
