Patient Self Sign-Up / Account Creation
Wellifiy allows patients to create their own accounts via the mobile app or web portal. The self sign-up experience varies depending on how your organisation has configured its settings.
🔀 Configuration Variations
There are three common variations for how self sign-up is handled:
Version 1: Access Code Required
Patients must enter an Access Code provided by your clinic. Each Access Code corresponds to a specific Patient Group.
-
This ensures patients are automatically placed into the correct group and see the right modules, content, or appointment types.
-
Optional Review Setting: Clinics can require approval before patients can access the app after sign-up (see more below).
Version 2: No Access Code
Patients create an account without needing an Access Code.
-
All new patients are automatically assigned to the Default Patient Group.
-
This is the simplest sign-up flow and is often used when general content or onboarding applies to all patients.
Version 3: Selectable Patient Groups
Patients are shown a list of available Patient Groups during sign-up and select the one that applies to them.
-
This option is ideal when the clinic serves multiple patient types (e.g. different programs or cohorts), and it's safe for patients to choose the appropriate group.
👤 Allocation Clinician
All patients who create their account through self sign-up are initially assigned to the organisation’s designated Allocation Clinician.
-
This clinician is set in the Team Members section.
-
Team Members can later reassign patients to their appropriate Primary Clinician once they’ve reviewed their details.
🔒 Optional Approval Flow (Version 1 Only)
If the clinic has enabled “Review Before Access” for Access Code sign-ups:
-
After the patient enters the Access Code and completes registration, they will not gain immediate access to the app.
-
Instead, they will see a message letting them know:
“Thanks for signing up! A team member will review your details and let you know once your account has been approved.”
-
A Team Member with appropriate permissions can go to the Patient Pending tab to review and approve the new patient.
-
Once approved, the patient receives an email and/or push notification, and the app becomes unlocked for use.
✅ This adds a layer of safety and vetting when needed for sensitive or gated programs.
