Patient Self Sign-Up / Account Creation

Wellifiy allows patients to create their own accounts via the Patient App or Patient Web Portal. The self sign-up experience varies depending on how your Organisation has configured its settings.

🔀 Configuration Variations

There are three common variations for how self sign-up is handled:

🔑 Version 1: Access Code Required

After tapping Create Account, patients are prompted to enter an Access Code provided by your clinic. Each Access Code corresponds to a specific Patient Group, so patients are automatically placed into the correct group and see the right modules, content, and appointment types.

Optional approval setting: clinics can require manual approval before patients gain access after sign-up (see below).

🆓 Version 2: No Access Code

Patients create an account without needing an Access Code. All new patients are automatically assigned to the Default Patient Group. This is the simplest sign-up flow and is often used when general content or onboarding applies to all patients.

👥 Version 3: Group Allocation via Onboarding

Patients answer a multiple-choice question during onboarding — the Patient Group Allocation Onboarding Question — and are placed into the Patient Group matching their answer. This option is ideal when the clinic serves multiple patient types (e.g. different programs or cohorts) and it's safe for patients to choose the appropriate option themselves.

📘 See Patient Onboarding for how to set up the allocation question and profile questions.

✅ Email Verification

Self-registered patients verify their email address as part of sign-up. Until they do, they appear in the Unverified Patients tab under Patient Management, where Team Members can see their state and Verify or Delete the record. Patients who didn't finish verifying can re-verify and complete their signup later.

👤 Allocation Clinician and the Care Team

Every patient's Care Team must always contain at least one clinician. Because self sign-up happens without a Team Member involved, all patients who create their own account are automatically given your Organisation's designated Allocation Clinician as the initial member of their Care Team.

  • The Allocation Clinician is set in the Team Members section
  • Team Members can adjust the patient's Care Team once they've reviewed the patient's details — adding the appropriate clinicians and removing the Allocation Clinician if they're no longer needed (as long as at least one clinician remains)
  • When the patient books a provider (or a Team Member books on their behalf), that provider is automatically added to their Care Team

🔒 Optional Approval Flow (Version 1 Only)

If the Patient Group has "Manually approve self-created Patient accounts before access is allowed" ticked (found in the Edit Patient Group modal — open the Patient Group and click Edit):

  • After the patient enters the Access Code and completes registration, they will not gain immediate access to the app
  • Instead, they'll see a message letting them know: "Thanks for signing up! A team member will review your details and let you know once your account has been approved."
  • A Team Member with appropriate permissions can go to the Pending Patients tab under Patient Management to review and approve the new patient
  • Once approved, the patient receives an email and/or push notification, and the app unlocks for use

✅ This adds a layer of safety and vetting when needed for sensitive or gated programs.
