Preparing Video and Audio for Upload
A little preparation before you upload helps your video and audio play smoothly for patients across a range of devices and connections. This article covers supported formats, our recommendations for orientation, resolution and file size, how to handle longer content, and what to do if an upload fails.
📍 Where Video and Audio Are Uploaded
Video and audio are added when you create or edit a Content Module in the Staff Portal, either as a Video Module, a Mixed Module, or an Audio Module.

🎥 Video Format and Orientation
Wellifiy supports MP4 for video uploads. Preparing your files as MP4 before you begin will avoid any issues during upload.
We recommend vertical (9:16) video. Patients most often view content on their phones through the Patient App, and vertical video fills the screen and displays most appropriately on mobile.
Landscape video is fully supported, so if your content suits a wider frame you can upload it that way. The choice comes down to your content and preference.
⚙️ Video Resolution and File Size
Keep two things in mind so your videos play smoothly for everyone:
- Resolution: we suggest 720p or below. There is minimal visual benefit above 720p on a mobile screen, and higher resolutions only increase file size.
- File size: we recommend keeping individual video files under 200MB. Very large files can time out during upload, and even when they upload successfully they are slow to load for patients on mobile data or a poor connection.
If a file is larger than that, compressing it before you upload will usually bring it well under the recommendation without a noticeable drop in quality on a phone screen.
✂️ Working With Longer Video
Long single videos are the most common cause of upload problems. Rather than uploading a 40 minute recording as one file, we recommend breaking it into shorter segments of roughly 5 to 10 minutes, in the way online course content is usually structured.
Shorter segments upload reliably, load quickly for patients, and are easier to return to part-way through a program.
🔉 Audio
Audio uploads use MP3.
Audio is far less constrained than video. Because audio file sizes are much smaller, longer runtimes are not a problem, and 40 minute files play without issue. Guided meditations, sleep stories and longer recorded sessions are all well suited to audio.
🔗 Linking to Externally Hosted Video
If you have content that genuinely needs to stay as one long video, you can host it elsewhere and link to it from a Content Module rather than uploading the file.
Add a Website content object to your Mixed Module and enter the URL. When a patient taps it, the page opens framed inside the Patient App, so they stay within the app experience.
Loom and unlisted YouTube videos both work for this. A couple of points worth weighing up before you choose:
- YouTube displays advertising and recommended content that Wellifiy does not control, which can draw patients away from your material. Loom keeps the viewer on your video.
- An unlisted link is not the same as a restricted one. Anyone with the URL can open it, and it cannot be revoked for an individual viewer. Loom offers more granular access controls.
We would encourage you to review the access and privacy settings of whichever platform you choose against your own organisation's requirements.
🖼️ Thumbnails
Externally hosted video will not generate its own thumbnail, so add one manually to keep the module looking consistent in the Patient App. The same applies to uploaded video and audio.
The two ratios relevant here:
- Content Module Thumbnails: 1:1, minimum 400 x 400 px
- Content Object Thumbnails: 9:16, minimum 400 px wide by 711 px high
Crop images to the correct ratio before uploading to prevent distortion. Full specifications for every image type on the platform are in Image Upload Guidelines.
💬 Captions and Subtitles
Wellifiy does not generate or add captions, and there is no separate subtitle track to upload. If you want captions, they need to be burned into the video file itself before you upload it.
Most video editing tools can do this at the export stage, so it is worth deciding on captions before you finalise your files.
🔁 Replacing a Video, Audio File or Link
You can replace the file or URL on an existing content object at any time using the ••• menu. The new version takes effect immediately, so the next time a patient opens that item they see the updated file or link.
🚫 If an Upload Fails
Uploads most often fail because of file size or a dropped connection. If an upload does not complete:
- Check the file size and compress it if it is over the recommendation
- Confirm the file is MP4 for video, or MP3 for audio
- Upload on a stable connection, ideally wired or strong Wi-Fi rather than mobile data
- Upload one file at a time
- Stay on the page until the upload finishes, as navigating away will cancel it
If it still will not upload after that, contact support with the file size, format and runtime, and we will take a look.
💡 Best Practices
- Prepare video as MP4 and audio as MP3 before uploading
- Use vertical (9:16) orientation for the best mobile experience
- Keep video resolution at 720p or below and files under 200MB
- Break longer video into 5 to 10 minute segments rather than uploading one long file
- Link to externally hosted video for anything that has to stay long-form
- Trim content to only what is needed, as shorter files load faster and hold attention better
- Add a thumbnail to every module and content object
