Sending & Viewing Assessments (PROMs)

Assessments, also referred to as PROMs (Patient-Reported Outcome Measures), are structured questionnaires that track a patient’s mental health, wellbeing, or functional progress over time. They generate numerical scores, support clinical insight, and can be charted longitudinally.


🧠 What Do Assessments Include?

PROMs may include:

  • Total scores

  • 📊 Subscales (e.g., Depression, Anxiety, Stress in DASS-21)

  • 🏷️ Range labels (e.g., Mild, Moderate, Severe)

  • AI-generated summaries

  • 📈 Trend graphs over time

  • 📄 Downloadable reports (PDF format)


✉️ Ways to Send Assessments

You can send assessments to patients using several flexible pathways:


1. 🖐️ Manual Request

Send an assessment directly from a patient’s Assessments tab:

  • Click ➕ Request Assessment

  • Select one or more assessments

  • (Optional) Add a message

  • Click Save to send

🔔 The patient is notified to complete it via the app or web portal.


2. 🕑 Scheduled Assessments

Set up recurring assessments to send automatically:

  • Click ➕ Schedule

  • Choose frequency (e.g., every 2 weeks)

  • Set start date, time, and number of repeats


3. 👥 Group Program Triggers

Assessments can be automatically triggered when a patient is enrolled in a Group Program:

  • Start of Program (e.g., baseline measure)

  • End of Program (e.g., outcome measure)

✅ This happens without manual intervention and ensures consistent measurement across group cohorts.


4. 🗓️ Linked to Appointments

Assessments can be automatically trigger based on appointment activity:

  • Trigger when a booking is made for a specific service

  • Trigger when the appointment is marked as Attended

🔧 This will be configurable in the Bookable Services setup, allowing pre- or post-session assessments to be seamlessly integrated into care workflows.


📲 Patient Experience

Once an assessment is sent, the patient will:

  • Receive an email and push notification

  • See a To-Do List card appear on their app or web portal home screen
    → This card includes a button to open and complete the assessment.

⏰ If the assessment is not completed within 48 hours, the system will automatically send:

  • A reminder email

  • A reminder push notification

🕹️ You can also manually resend a reminder:

  • Click the ••• menu next to the assessment in the portal

  • Select Send Reminder


📈 Viewing Results

Once completed:

  • Assessments show a ✅ Complete status in the Assessment Management table

  • Scroll down to view:

    • Subscale scores and range labels

    • Graphs of progress over time

    • PDF report and AI-generated summary

🧠 Progress summaries compare:

  • Latest vs. Baseline

  • Latest vs. Previous
