September 2026 - Product Updates
A roundup of the updates that went live in September.
1 Sep 2026: ๐๏ธ Patient Groups โ Patient Group Notes
Patient Group Notes are internal notes that sit on a Patient Group rather than on an individual patient, giving your team one running record of what's happening with an account, a business, a cohort or a program.
What's New โจ
- Find them under Patient Management โ Patient Groups โ [group] โ Patient Group Notes. If your Organisation uses a Custom Term for Patient Group, the tab follows it, for example Business Notes
- Click + Note to write in the rich text editor, then Save & Exit to keep the note In Progress or Save & Finalise to finalise it
- Filter the notes table by Discipline or Author
- Click AI Summary to generate a summary across all of the group's notes, covering risks, opportunities and suggested next steps. It's generated fresh each time and isn't stored
- Access is controlled by the Group Notes permission, and notes are never shown to patients
Patient Group Notes is a platform extension available on selected plans. Contact support@wellifiy.com if you'd like it enabled.
How It Helps ๐ก
๐ค Account Management on the Group Itself
For EAP and employer-funded services, contract conversations, utilisation concerns and renewal context sit on the Patient Group alongside its Snapshot, Custom Fields and Documents.
๐ Handovers That Build Themselves
The next person to pick up a business, a group or a program reads the history rather than piecing it together.

3 Sep 2026: โ Bookable Services โ Linked Tasks
You can now attach follow-up tasks to a Bookable Service. Each time an appointment for that Service is booked, the tasks are created for the provider automatically.
What's New โจ
- Open a Service under Booking Management โ Bookable Services and add tasks in the Linked Tasks section with + Task
- Give each task a name and a Due After value in days, counted from the appointment date. Enter 0 for a task due on the day
- Tasks are assigned to the provider the appointment is booked with and linked to the patient, so they appear in the provider's My To-Do List and in Patient Tasks on the patient's Overview
- Tasks apply to appointments booked after they're added, and to Bookable Services only. Group Program sessions don't create them
How It Helps ๐ก
๐ Follow-Up on the List From the Start
Case notes, referral letters and follow-up calls are on the provider's To-Do List as soon as the appointment is booked.
๐งฉ Set Per Service
An initial consult can carry three tasks and a standard follow-up just one.

4 Sep 2026: ๐ฅ Team Members โ Export to CSV
Your Team Member list can now be exported to CSV, including display fields, system fields and any Custom Fields you've configured for Team Members.
What's New โจ
- Click Export on the Team Members screen under Administration โ Team Members
- The file is generated in the background and downloaded from Reporting โ Export History, which requires the Reporting permission
How It Helps ๐ก
๐๏ธ A Complete List in One File
Headcount reporting, audits and reconciliation against HR or payroll records start from a full export rather than a manual copy.
More on exports: Downloading Exports from Export History
5 Sep 2026: ๐ Reporting โ Assessment Scores by Patient Group
Assessment score charting was previously available for individual patients only. You can now chart the average score across a whole Patient Group over time.
What's New โจ
- Go to Reporting โ Assessments, select a Patient Group, then the Assessment you want to chart
- Access requires the Reporting permission
- If your Organisation uses a Custom Term for Patient Group, the selector shows your own wording
How It Helps ๐ก
๐ Outcomes at Cohort Level
See how a group is tracking for program reporting, and pick up shifts you'd miss reviewing records one at a time.
9 Sep 2026: ๐งพ Billing โ Export Invoices to CSV
As well as extraction through the System API, invoices can now be exported as a CSV file from Billing โ Invoices.
What's New โจ
- Each row carries the issue date, invoice number, patient name and Identifier, Patient Group, provider, amount, invoice status and paid date
- Narrow the export by issue date range, patient, provider, Patient Group or invoice status
- The file is generated in the background and downloaded from Reporting โ Export History, which requires the Reporting permission
How It Helps ๐ก
๐ฐ Reconciliation in One File
Finance teams get invoice and payment status together, ready for reconciliation or import into an accounting system.
12 Sep 2026: ๐ System API โ Patient, Team Member and Patient Group Endpoints
The System API has new endpoints for reading back the records your integrations work with.
What's New โจ
- Retrieve a single patient by ID
- List your Team Members, or retrieve one by ID, through the clinicians endpoints
- List your Patient Groups, or retrieve one by ID, including each group's code, Segments and Custom Fields
- Any endpoint that returns a patient now includes their Segment. Segments are activated per Organisation on request
How It Helps ๐ก
๐ Other Systems Stay in Step
Integrations can look up patient, Team Member and Patient Group records directly and carry Segments through to employer or funder reporting.
Full details in the API documentation.
14 Sep 2026: ๐ System API โ Patient Group Filter and Cancelled By
Two additions to existing System API endpoints.
What's New โจ
- The patients list endpoint can now be filtered by Patient Group ID
- The appointments list endpoint now returns who cancelled each cancelled appointment
How It Helps ๐ก
๐ฏ Pull Only What You Need
Integrations that work group by group can request one group's patients, and cancellations can be attributed without a manual lookup.
Full details in the API documentation.
17 Sep 2026: ๐ Developer โ Webhooks and Self-Service API Keys
With webhooks, Wellifiy can now push events to your other systems and tools as they happen, so integrations no longer need to poll the API for changes. Webhooks sit in a new Developer area under Administration, alongside your API Key.
What's New โจ
๐ Webhooks
- Point a webhook at your own https endpoint and choose the events it receives: appointment confirmed, cancelled, rescheduled, attended and missed, patient registered, assessment submitted and form submitted
- Each delivery is signed, and failed deliveries are retried
- Every webhook you've set up is listed in one table with its events, status and created date
- More event types are planned. Request the ones you need through the Feature Request Form
๐ API Key Management
- Rotate your API Key yourself from the Credentials section
- Your API Key has moved here from the Organisation Info widget in Portal Settings
- The API Docs link on the page opens the full endpoint and payload reference
Find it under Administration โ Developer; access requires the Administration permission. The Developer area is available on selected plans, so contact support@wellifiy.com if you can't see it.
How It Helps ๐ก
โก Automations That Run in Real Time
Your own workflows can fire the moment an appointment is booked, missed or cancelled, or an assessment comes in.
๐ Credentials on Your Schedule
Rotate the key when a developer leaves or a key may have been exposed, without waiting on our team.
21 Sep 2026: ๐ Booking Management โ New Location and Permission
Booking Management has moved out of Team Calendars and onto its own first-level tab in the left-hand navigation, directly below Team Calendars.
What's New โจ
- Bookable Services and its related screens now sit beneath Booking Management
- A new Booking Management permission controls who can see the tab, set under Administration โ Roles and Permissions
- Roles that already had the Team Calendars permission have been given Booking Management automatically, so existing Team Members keep their access
How It Helps ๐ก
โฑ๏ธ One Click Closer
Bookable Services is reachable in two clicks rather than three.
๐ Calendar Access and Service Setup Kept Separate
Team Members can work in Team Calendars without being able to change how Services are configured.
More on permissions: Create Roles and Permissions
24 Sep 2026: โ๏ธ Portal Settings โ Set Your Own Terminology
Your Organisation can now rename patient, clinician and Patient Group itself, so the platform uses the words your team already uses. Previously our team set these on your behalf.
What's New โจ
- Go to Administration โ Portal Settings, find the Terminology widget on the Overview tab and click Edit
- Enter your wording in the Patient term, Clinician term and Patient Group term fields, for example client, practitioner or business, then click Save
- Changes apply straight away and only affect labels. Your records and configuration stay as they are
- Exports, imports and the System API keep Wellifiy's default field names, so integrations and import templates keep working
If the Terminology widget isn't showing, contact support@wellifiy.com and we'll switch it on.
How It Helps ๐ก
๐ฃ๏ธ Your Language, Updated Whenever You Need
Team Members and patients see the terms your Organisation uses, and you can change them yourself as your services or contracts change.

28 Sep 2026: ๐ Episodes - Initial Release
Episodes are a new concept in Wellifiy that allow you to group a patient's related Appointments into a single case, so your Organisation can count and report on cases as well as individual Appointments. Episodes were built for Organisations whose funders and employer contracts ask for reporting by case, episode or intervention.
What's New โจ
- Every patient record has a new Episodes tab, where you create and edit a patient's Episodes. An Episode with linked Appointments can only be deleted once those Appointments are moved to another Episode
- Wellifiy creates a patient's first Episode automatically when their first Appointment is booked, and existing Appointments have been grouped into one Episode per patient. If you don't report by case, there's nothing to set up
- When a patient has more than one Episode, choose the right one in the Episode field of the Appointment Modal
- Filter a patient's Appointments tab by Episode, and see each Appointment's Episode in the Appointments export under Reporting โ Appointments
- Switch on auto-generated Episode Codes, with their own prefix and numbering, under Administration โ Portal Settings โ Identifiers. Until then, codes show as [Missing Code]
- Episodes apply to 1:1 Appointments booked through Bookable Services. Group Program Appointments aren't part of an Episode
Episodes will soon be available as a Custom Term, so they can be renamed to match your Organisation's language, such as case or referral.
How It Helps ๐ก
๐ Report the Way Funders Ask
Case counts and per-case activity come straight from the Appointments export.
๐งพ Open a Case Before Anything Is Booked
Create an Episode when a referral or authorisation arrives, then book Appointments into it.
Read the full guide: Episodes Overview
30 Sep 2026: ๐งพ Episodes โ Custom Fields
Episode is now available as a Custom Field entity, so your Organisation can record any additional details you'd like for each case.
What's New โจ
- Create fields under Administration โ Custom Fields with Context set to Episode
- Choose from Integer, Text, Single Select, Multi Select, Boolean or Date fields
- Fill in values from Edit on the patient's Episodes tab, and see them on each Episode's details page alongside its linked Appointments
- Episode Custom Fields are always optional, so Episodes created automatically at booking save as usual
How It Helps ๐ก
๐ The Case Details Funders Ask For
Record the funder, referral source or authorisation number against each case rather than in a separate spreadsheet.
