Setting Up Team Member Availability

Define when a Team Member is available for patient bookings.

This setting is only relevant if your organisation allows patients to self-book appointments via the mobile app or web portal.


The availability defined here determines which time slots will be visible to patients when booking appointments with a Team Member.


 

 

  1. Go to Team Calendars → Booking Management → Team Availability

  2. Select the Team Member you want to configure to open their Availability modal

  3. Set the Team Members standard availability:

    • For each day, enter a Start Time and End Time

    • Leave days blank if the Team Member is unavailable for the entire day


🚫 Adding Unavailability Blocks (e.g. Lunch Breaks)

If there are regular times within a day when the Team Member should not be bookable (e.g. lunch), you can add unavailability blocks:

  1. Click Add New Unavailability Block

  2. In the modal, enter the following:

    • Reason (e.g. Lunch Break)

    • Start Date and End Date

    • Start Time and End Time for the block

  3. If this unavailability occurs regularly, toggle ON Repeat and set the repeat frequency (e.g. daily)

  4. Important: Click Block Time to add the entry

    🔔 The block will only appear in the Unavailable Dates and Times table once you’ve clicked Block Time.

  5. When finished, click Save
