Sync your Wellifiy powered calendar with your Outlook or Gmail calendar.

Calendar Sync allows Team Members to connect their external calendar (Outlook or Gmail) with their Wellifiy powered calendar. This is a two-way sync:

  • External calendar events will block out availability in Wellifiy (so patients can’t book over them)

  • Patient bookings made through Wellifiy will appear in your external calendar


✅ How to Set Up Calendar Sync

  1. Go to My Settings → Calendar Sync

  2. Enter your Outlook or Gmail address

  3. Click Sync

That’s it — once connected, your calendars will begin syncing automatically.


🔄 How It Works

  • Events in your external calendar will appear in your Wellifiy calendar as red blocks labelled: Unavailable (External Cal)

    💡No appointment details will be shown — only the blocked time.

  • Bookings made by patients in Wellifiy will be added to your external calendar.


⚠️ Important Notes

  • No buffer is added around external appointments.

    For example, if an external event ends at 12:50 PM, your next available time will be shown as 12:50 PM.

    🕒 If you prefer to keep bookings aligned to the hour or half-hour, make sure your external events are created accordingly.

  • Overlay calendars or third-party event feeds are not supported.

    For example:

    • Flights, hotel bookings, or tickets added via Gmail are often shown as calendar overlays, not actual calendar events.

    • These overlays look like appointments but aren’t true entries in your calendar — and won’t be picked up by the sync.

      💡 Some other practice management platforms only provide a calendar overlay rather than true syncing. With Wellifiy, events must exist as actual entries in your Outlook or Gmail calendar to be recognised and synced.
